EU Project Partner in Bosnia and Herzegovina: Cyclotourism Forum at the Mostar Fair

International lead partners, consultancies and institutions implementing EU projects in Bosnia and Herzegovina need a reliable partner on the ground. MICE.BA is a PCO and DMC agency based in Mostar that delivers EU project events in line with programme and donor requirements.

This case study presents a business forum we organised for the EU project Romans Wine Danube during the International Economic Fair in Mostar.

Project Background

Romans Wine Danube: Marketing Framework for the Sustainable Development of Cultural Tourism is an EU project funded under Interreg Danube Region. In Bosnia and Herzegovina, the project is implemented by the Office for European Integration of the Government of West Herzegovina Canton. The partnership includes institutions from several European countries.

Mostar is the largest city in Herzegovina, the southern region of Bosnia and Herzegovina. The International Economic Fair Mostar is an annual trade fair that brings together exhibitors from the region and the European Union.

The Event: A Product Club Forum on Cyclotourism

A product club brings together tourism providers, public institutions and local stakeholders to develop a shared tourism product. Our task was to organise a product club meeting in the format of a business forum, held on April 15th 2025 at the fair.

The forum focused on cyclotourism as a sustainable tourism product of Herzegovina. The programme presented two regional examples that promote cultural tourism. The first was the Franciscana cycling route, “A Journey Through History on Two Wheels”. The second was the Stećci Route Bike Ride, which connects medieval tombstones inscribed on the UNESCO World Heritage List.

The forum gathered more than 70 participants and 9 speakers.

The MICE.BA Scope of Work

  • Venue setup and technical equipment: We arranged a hall within the fair grounds, set up the stage and planned the seating layout. We provided an LED display and supporting AV equipment. Signage, banners and the placement of EU and project logos followed the EU visibility guidelines on every visible surface.
  • Speaker and programme coordination: We communicated with speakers in advance and delivered all materials on time. We coordinated the moderator and gave every participant a clear schedule and speaking slot.
  • Media and communication: We prepared a dedicated area for media statements and invited journalists. Speakers gave statements right after the forum. Media outlets from Mostar and Herzegovina covered the event with 35+ reports.
  • Catering and subcontractors: We coordinated catering and managed all local subcontractors. The client worked with one contact person and received one invoice for the complete service.
  • Outputs and reporting: After the forum, we prepared a report covering all outputs of the project activity. The documentation met donor standards and was delivered within the deadline set in the project plan.

Results for the Project

The forum took place on the planned date and ran smoothly. We kept regular communication with the client from preparation to final reporting. All project activities complied with the EU visibility guidelines.

Event Delivery in Demanding Conditions

A forum within a trade fair requires a different type of coordination than a standard conference. Deadlines are shorter, and the venue is shared with dozens of exhibitors. Technical options depend on the conditions at the fair. For this reason, we resolve every detail well in advance of the event day. Our attention to detail keeps project activities on schedule and ready for audit.
